Using Speed Dial with Webex (Desktop App, Mobile App, and Desk Phone)

Summary

This article explains how to set up and use speed dial options in Webex across the desktop app, mobile app, and desk phones. While the Webex apps use Favorites and Recents for quick calling, traditional speed dial keys remain available on Webex desk phones.

Problem

Faculty and staff familiar with the older VoIP phone system may expect dedicated speed dial codes on all devices. In Webex Calling, the approach differs:

  • The apps use Favorites or the Recents list for fast calling instead of traditional numeric speed dial codes.

  • The desk phones still support programmable speed dial keys, but setup requires either IT assistance or configuration through the Webex Calling User Portal.

Without guidance, users may not realize how to create shortcuts for frequent contacts or how speed dial has changed in the new system.

Solution

Use Favorites/Recents for speed dial–like functionality in the Webex apps, and programmable line keys for speed dial on desk phones.

Steps

A) Desktop App (Computer)

  1. Open the Webex desktop app.

  2. Go to the Contacts tab.

  3. Right-click a contact and select Add to Favorites.

  4. The contact will appear under Favorites for one-click calling.

  5. Alternatively, use the Recents tab to redial quickly.


B) Mobile App (iOS/Android)

  1. Open the Webex mobile app.

  2. Tap Contacts, find the person, and select Add to Favorites.

  3. The contact is now listed in your Favorites for one-tap calling.

  4. You can also redial directly from the Recents tab.


C) Desk Phone (Webex Endpoint)

  1. Check your line keys (buttons next to the display). Some may be blank and available for speed dial.

  2. To program a speed dial:

    • Contact IT to request setup, or log in to the Webex Calling User Portal (if enabled).

    • Assign the desired phone number or extension to an available line key.

    • Label the key with a contact name for easy identification.

  3. Once programmed, press the speed dial key to instantly call that number.

  4. The display will show the contact name/number next to the key.


Tips

  • Use Favorites in the apps for contacts you call most often.

  • Desk phone speed dials are best for external numbers or departments you call regularly.

  • If you’re unsure how to program desk phone keys, contact the CITE Service Desk for assistance.

  • Speed dial keys can be changed at any time through IT or the user portal.
