Summary
MFA enhances account security by requiring both a password and a second factor — typically a mobile app confirmation. PVAMU relies on Microsoft Authenticator for this process, which integrates seamlessly with Office 365, VPN, and other university systems. DUO remains in limited use for legacy systems, but Microsoft Authenticator is the present and future of secure access at PVAMU.
Problem
Passwords by themselves are no longer enough to keep PVAMU accounts secure. Cybercriminals use phishing, stolen credentials, and weak-password attacks to gain access. Once a password is compromised, an attacker could read emails, steal files from OneDrive or SharePoint, or impersonate faculty and staff. These risks grow worse when passwords are reused or too simple. Without Multi-Factor Authentication (MFA), one mistake could give an attacker full access to university systems and sensitive data.
Solution
By requiring verification through Microsoft Authenticator, PVAMU ensures that even if your password is stolen, attackers cannot log in without your physical device. This makes it much harder for criminals to compromise accounts.
Steps
Before setting up Microsoft Authenticator, install the Microsoft Authenticator App on your smartphone (available in the Apple App Store and Google Play Store).

Log into a PVAMU service (such as Office 365 or VPN).

Enter your PVAMU credentials (username and password).

Register your device by scanning the QR code or entering the setup code provided on-screen.

Approve the prompt in the Microsoft Authenticator app to complete login.

Going forward, you will receive a notification in the app to approve logins each time MFA is required.
Note: Some TAMUS applications may still use DUO. If prompted, follow the DUO instructions until those systems are fully transitioned.
Troubleshooting Tips

Didn’t receive a prompt? Open the Authenticator app and refresh manually.

New phone? Make sure you transfer your account to the new device before wiping the old one.

Lost or broken device? Contact the PVAMU Service Desk immediately to reset your MFA options.

App not working? Ensure notifications are enabled and that the time/date on your phone is correct.
Best Practices for MFA

Always approve only login requests you initiate yourself. If you receive an unexpected prompt, deny it and change your password immediately.

Keep your Authenticator app updated to the latest version.

Register at least one backup MFA method (such as a secondary phone number).

Never share your MFA codes with anyone.
