Making Conference Calls with Webex (Desktop App, Mobile App, and Desk Phone)

 This article explains how to start and manage conference calls using Webex on the desktop app, mobile app, and desk phone. Conference calls allow multiple participants to join the same call for easier collaboration.

Problem

Faculty and staff may be unsure how to add multiple participants to a single call using Webex. Traditional VoIP phones required different steps for 3-way calling, and many users may not realize that the Webex desktop app, mobile app, and desk phones all support easy conference calling. Without guidance, users may miss opportunities to merge calls or manage participants efficiently.

Solution

Use the Add Person or Conference options to connect multiple participants into one call. The steps are slightly different depending on whether you are using the desktop app, mobile app, or a desk phone.

Steps

A) Desktop App (Computer)

  1. While on an active call, click More Options (…) → Add a Person.

  2. Enter the name, extension, or 10-digit number.

  3. When the new participant answers, click Merge to join all parties into the conference.

  4. Repeat to add more participants (up to the system limit).

B) Mobile App (iOS/Android)

  1. While on a call, tap More (…) → Add Person.

  2. Search for the contact or enter the number.

  3. Once connected, tap Merge to combine into one conference call.

  4. Manage participants from the in-call screen.

C) Desk Phone (Webex Endpoint)

  1. While on an active call, press the Conference (or Conf) soft key.

  2. Dial the extension or outside number (remember: 8 + area code + 7-digit number for off-campus).

  3. When the person answers, press Conference again to merge calls.

  4. Repeat the process to add additional participants.

Tips

  • Use a headset for better audio quality during conference calls.

  • You can move a conference call between devices using the Move Call To… feature in Webex.

  • Conference calls may be limited by the number of participants allowed per system settings.

  • If someone drops, re-add them using the same steps.
